Overview

Video Conferencing is your Communication meeting space. Start an Internal meeting for your team or a With Deal meeting linked to a CRM deal, pass the green-room microphone check, join voice-first with the microphone on and camera off by default, choose a separate speaker output on supported Chrome and Edge browsers, and review your workspace's archive. The client archive starts on Meetings with SalesHive Team and separates Internal Meetings from Meetings with Prospects. The selected supported speaker initializes call playback, and in-call Settings can change it with explicit browser permission and a named confirmation. If the room connects without a live microphone track, a recovery banner offers Reconnect microphone. The shared call dock remains usable in compact windows: labels collapse, the row scrolls horizontally, and its menus stay above the dock. Every participant can use the shared dock to raise a hand or send a short reaction. A raised hand stays visible until lowered and moves that participant to the top of People. Reactions appear briefly on the sender tile. Calls record automatically, but the room keeps an honest Starting or Confirming state until LiveKit or the authenticated recording service verifies the active recording. Once confirmed, every participant receives the notice and sees the persistent Recording indicator, even if room metadata is delayed. The in-call dock now uses a tighter default row, and floating page help, feedback, and AI launchers stay hidden on Video Conferencing routes so they do not cover meeting controls. Supported browsers start LiveKit Cloud enhanced noise cancellation automatically, layered with browser echo cancellation and standard noise suppression. Other browsers keep the browser processing fallback. On eligible SalesHive-hosted linked client or prospect calls, every participant also receives a shared live-notes workspace. It updates from spoken meeting content about once a minute, labels itself Visible to everyone in this meeting, and can show confirmed discussion points, decisions, follow-up items, open questions, and the next meeting. Clients and guests never receive the SalesHive internal command center. Signed-out invitees now enter their name and email directly and wait for an authenticated SalesHive host, without an account verification handoff. The in-call microphone button shows Mute when audio is live and Unmute when it is muted. A failed unmute now reports blocked permission, a missing microphone, another app using the device, or a Settings recovery need. Use Reconnect microphone or Restart microphone in Settings when recovery is still needed. Start video makes one browser camera request through LiveKit, which keeps the camera selected in Settings and avoids a second immediate capture that can leave some cameras busy. Camera tiles show the complete frame by default, with an optional crop-to-fill setting. Background effects use SalesHive-hosted browser assets, run locally for the current call, and fall back to the ordinary camera when unsupported or unsuccessful. The floating camera overlay is enabled by default on supported Chrome and Edge browsers and can be disabled or reopened from Settings. Spoken in-meeting agents are currently unavailable, so the AI Rep control does not appear and Buzz does not join automatically. SalesHive's autonomous note taker remains active, and each note view shows the next minute check, an active update, or final status. After an authorized SalesHive host reviews and approves the exact-occurrence follow-up, each participant who actually joined receives an individual email. It opens a private seven-day recording and shared-notes page and includes the deal room path. Leaving as the final human participant now closes only the current occurrence automatically, while the reusable meeting link stays ready for a fresh call. A tab close or connection loss gets an eight-second reconnect grace before the same cleanup runs. Eligible shared call workspaces place Notes and Transcript side by side. Transcript shows the speaker-labeled live conversation and stays active while people switch tabs, so the same stream continues without duplicate lines. When another participant first reaches the connected room, SalesHive emails the active host with the participant name, meeting title, and a Join meeting link. Reconnects to the same occurrence do not send duplicate notices. On pre-signature prospect calls, shared Notes are explicitly read-only and provide copy and text-download tools. Prospect Transcript adds timestamps, search, speaker filtering, browser-only bookmarks, line copy, text download, and Jump to latest after manual review pauses automatic follow. These participant tools do not expose SalesHive internal coaching or evidence actions. On pre-signature prospect calls, Notes are now organized as Your SalesHive strategy recap. The recap selects transcript-grounded goals, SalesHive fit, the recommended approach, engagement expectations, open decisions, and agreed next steps while excluding private qualification details, internal sentiment, company-profile repetition, and transcript-style dumps. After the first recap is ready, a verified client or signed-out guest can select Email me my notes. SalesHive sends the current recap only to the external email already bound to that participant's active call identity, and the browser cannot choose another address. Active-client and onboarding shared workspaces keep their existing controls.

How to use this page

  1. Start a new meeting

    Select Start New Meeting and add an optional title. Choose Internal for your team only, or With Deal for a meeting linked to a CRM deal. With Deal prompts you to choose the client CRM deal before you create the link.

  2. Share or open the reusable link

    When the link is ready, select Copy to share it, Done to return to the archive, or Open Meeting to enter the green room. The link stays reusable until the meeting is canceled. There is no separate recurring-meeting checkbox.

  3. Check the green room

    Choose your microphone, speaker, and camera. On supported Chrome and Edge browsers, the Speaker menu routes call audio to the selected headphones or output device. On supported browsers, apply None, Light blur, Strong blur, or an available backdrop for this call. Background processing happens on your device and requires a supported WebGL2 browser. The green room checks microphone access before Join meeting and keeps Join meeting disabled during a failed check. Select Retry microphone or choose another device if needed. Participants enter voice-first with the microphone on and camera off by default. On supported Chrome and Edge browsers, Join meeting also opens the enabled floating camera overlay. A host-specific exception can suppress automatic opening, and an explicit Settings opt-out is always respected.

  4. Use the in-call controls

    Use Mute or Unmute, Start video or Stop video, Background, Share, Music when available, Settings, Chat, People, recording controls when authorized, and Leave in the bottom dock. Start video uses one LiveKit camera request to prompt for browser permission and publish the camera selected in Settings. A blocked, missing, busy, or unavailable camera produces a recovery message instead of a silent failure. Background choices apply to the current call and switch on the local camera without replacing the track. Share screen and Share screen + audio can open the enabled floating camera overlay before capture begins; Share audio only does not. Settings can disable, reopen, or close the overlay. Camera tiles show the full frame by default. Turn off Show full camera frame to crop cameras to fill their tiles.

  5. Mute, unmute, and recover audio

    Select Mute to stop sending microphone audio. The control changes to Unmute. Select Unmute to restore the same LiveKit microphone path and its existing processing. If unmute fails, follow the message for blocked browser access, no microphone, another app using the device, or Settings recovery. Use Reconnect microphone or Settings > Restart microphone if the track still does not recover.

  6. Leave or close the occurrence

    Select Leave when you are done. If other human participants remain, their call stays live and host controls transfer when needed. If you are the final human participant, SalesHive closes the current occurrence automatically, finalizes its recording and notes workflow, and keeps the reusable meeting link available for a fresh call. Closing the tab, refreshing, or losing the connection starts an eight-second reconnect grace. If no human participant returns, that exact occurrence closes. Silent recording, notes, or AI workers do not keep an empty call active.

  7. Use shared Notes and Transcript

    On an eligible SalesHive-hosted linked client or prospect call, use the shared command center beside the video stage. On a pre-signature prospect call, Notes are labeled Shared with everyone, read-only and organized as Your SalesHive strategy recap. It selects transcript-grounded goals, SalesHive fit, the recommended approach, engagement expectations, open decisions, and agreed next steps. Select Copy shared notes or Download shared notes for the current participant-safe document. After the first recap is ready, select Email me my notes to send it to the external email already used for your active call. You cannot enter a different recipient. Open Transcript to review timestamps, search spoken text, filter by speaker, add browser-only bookmarks, copy a line, or download the current text. Scrolling back, searching, or choosing one speaker pauses automatic follow until you select Jump to latest. Active-client and onboarding shared workspaces keep their existing controls, and switching tabs does not restart transcription.

  8. Adjust devices and noise cancellation

    Select Settings to switch microphone, camera, or speaker, restart a problem microphone, and control display preferences. On supported Chrome and Edge browsers, choosing a non-default speaker can open the browser output-permission picker. A confirmation message names the speaker now carrying call audio. Leave Noise cancellation on for ordinary calls and turn it off for music or instruments. Show full camera frame starts on so each camera is letterboxed instead of zoomed or cropped; turn it off to crop to fill. On supported Chrome and Edge browsers, Floating camera controls the always-on-top participant window and Open floating camera reopens it from the current click.

  9. Raise a hand or send a reaction

    Select Raise hand when you want to speak. The control changes to Lower hand, a hand badge stays on your participant tile until you lower it, and raised participants move to the top of People. Select Reactions and choose Thumbs up, Applause, Heart, Laugh, Celebrate, or Thinking. The reaction appears briefly on your tile for everyone in the room. Hand raises and reactions do not change the meeting record or recording.

  10. Continue without a spoken agent

    Spoken in-meeting agents are currently unavailable. Buzz does not join automatically, and the AI Rep control is not shown. Continue using the normal call controls, automatic recording, shared Notes, and speaker-labeled Transcript.

  11. Choose an archive view

    The archive opens on Meetings with SalesHive Team for calls between your team and SalesHive. Select Internal Meetings for calls hosted within your company, or Meetings with Prospects for calls linked to prospects in your CRM. Each tab keeps the same deal-scoped search, recording, and transcript controls.

  12. Search the meeting archive

    Search title, client, or host, then select Search. Use All sources, All recordings, and All transcripts to narrow the results. The archive is scoped to the meetings available in the selected client workspace.

  13. Review recordings and transcripts

    Select a meeting title for its details. Watch opens a ready recording, and Transcript opens a ready transcript. Meeting titles and linked records open in a new tab so an active call stays open. Calls record by default, and the active Recording indicator stays compact in the call header.

  14. Open the recording and notes follow-up

    After an authorized SalesHive host reviews and approves the follow-up for an eligible SalesHive-hosted deal-linked occurrence, each person who actually joined receives an individual email. Select View recording and notes to open the private seven-day page, review the shared notes, and watch or download the recording. Select the deal room link for shared materials and next steps. People from an older use of the same reusable link are not included unless they joined this occurrence.

  15. Use the host join notice

    When another participant first connects, the active host receives a SalesHive Notifications email with the participant name, meeting title, and Join meeting link. The notice is based on a confirmed room connection. Reconnecting to the same occurrence does not send another notice.

  16. Maximize a prospect screen share

    On an eligible prospect call, a remote screen share opens in presentation mode by default unless you have chosen the gallery layout. The shared screen uses the main stage, participant tiles move into a compact overlay, and the command center collapses to a Workspace rail. Select Show workspace to restore the meeting workspace beside the share, or Maximize shared screen to return to presentation mode. The choice resets when sharing stops.

Rechecks microphone access in the green room after a permission or device error.
Speaker
Chooses the headphones or speaker used for call audio on supported Chrome and Edge browsers. The default speaker remains available.
Meetings with SalesHive Team
Shows calls between your team and SalesHive and is selected by default.
Search
Applies the text entered in the meeting search field.
Watch
Plays an available recording from the meeting archive.
Transcript
Opens an available transcript from the meeting archive.
Internal Meetings
Shows calls hosted within your company.
Meetings with Prospects
Shows calls linked to prospects in your CRM.
Mute / Unmute
Mutes a live microphone or restores it through LiveKit. A failed unmute reports permission, missing-device, device-in-use, or recovery guidance.
Reconnect microphone
Reacquires a usable microphone and verifies a live published track when the initial input did not start or was interrupted.
Share
Opens screen, screen plus audio, or audio-only sharing. Video sharing can also open the enabled floating camera overlay; audio-only sharing does not.
Settings
Opens microphone, camera, supported speaker output, microphone restart, noise cancellation, full camera frame, gallery, and supported floating camera controls.
Raise hand / Lower hand
Keeps or clears a visible hand badge on your participant tile and prioritizes raised participants in People.
Reactions
Opens six quick reactions that appear briefly on your participant tile for everyone in the room.
Hide command center
Collapses the shared live-notes workspace into a slim restore rail for more video space. Its directional control stays fully visible inside the command center header.
Show command center
Restores the shared live-notes workspace without interrupting note updates.
Background
Applies blur or a replacement backdrop to the local camera for the current call on supported WebGL2 browsers. Failure returns safely to None.
Enlarge
Focuses a visible shared-screen tile for your view only, including when Keep everyone in grid is on.
Unpin
Returns your viewer-local focused screen share to the gallery layout.
Floating camera / Open floating camera
Enables, closes, or reopens the supported always-on-top participant window. The overlay contains cameras, camera-off names, mute, and Chat.
Show full camera frame
Starts on and letterboxes cameras so the complete image is visible. Turn it off to crop cameras to fill each tile.
View recording and notes
Opens the private seven-day participant page for the exact eligible deal-linked recording and its shared notes.
Download recording
Downloads the recording from the private participant page without exposing the storage location.
Open the deal room
Opens the linked deal room for shared materials and next steps from the participant follow-up.
Leave
Leaves the active call. If you are the final human participant, the current occurrence closes automatically and the reusable meeting link stays available for a fresh call.
Transcript (live)
Shows the shared speaker-labeled live conversation. The same session continues while Notes is open.
Join meeting (email)
Opens the reusable meeting link from the host notification that confirms another participant connected.
Start video / Stop video
Starts the camera selected in Settings with one LiveKit capture request, or stops the live camera. Browser, device, and in-use failures show a recovery message.
Maximize shared screen
On eligible prospect calls with a remote share, gives the shared screen the main stage and moves participants into a compact overlay.
Show workspace
Restores the command center or shared workspace beside the active screen share.
Copy shared notes
Copies the current read-only participant note on a pre-signature prospect call.

A signed-out visitor enters a name and email and continues as a guest without an account verification handoff. The guest completes the same green-room device setup and microphone check used by the app. If the host is not present, the guest waits until an authenticated SalesHive host joins. A signed-out host must use the host sign-in link to start the room.
There is no separate Join muted path in the green room. Complete the microphone check and join voice-first with the microphone on, then select Mute after entering.
Before joining, finish the green-room microphone check and use Retry microphone when needed. In the call, a failed Unmute reports blocked access, no microphone, another app using it, or a Settings recovery need. Start video makes one LiveKit camera request and reports blocked, missing, busy, or unavailable cameras. Follow the message, then use Reconnect microphone or Settings when recovery is still needed.
Before joining, choose the headset in Speaker as well as its microphone. On supported Chrome and Edge browsers, SalesHive applies that output when the call opens. You can also open Settings during the call, choose a speaker, approve the browser output prompt if shown, and wait for the confirmation naming the applied device. Other browsers use the system default output.
If Share cannot start, SalesHive shows a screen-share message that explains whether browser or system permissions blocked capture, no display or window was available, another app is using capture, this browser or context does not support sharing, or you canceled the picker. Follow the message and try Share again.
A hand raise stays on your tile until you select Lower hand, including for people who join later. A reaction appears for about four seconds, then clears automatically. Neither action changes meeting or recording data.
Wait for the participant notice and persistent Recording indicator before treating the call as recorded. The room is checking the authoritative recording service and will keep retrying if the room metadata signal is delayed.
They stay hidden throughout Video Conferencing routes so they do not cover the meeting workspace or bottom call controls. They return when you leave the Video Conferencing route.
It starts on automatically. Supported browsers use LiveKit Cloud enhanced noise cancellation together with browser echo and standard noise controls. Background processing requires a browser with WebGL2 support and runs on your device for the current call. Unsupported browsers hide the control. If an effect fails, SalesHive removes it and keeps the normal camera usable. Try a current Chrome or Edge browser.
Select Enlarge on the shared-screen tile, or click the tile itself. The focused layout changes only for you. Select Unpin to return to the gallery. This works even when Keep everyone in grid is enabled.

Show full camera frame starts on so the complete camera image remains visible. Open Settings and turn it off if you prefer the camera cropped to fill the tile. Screen shares are unaffected.
After an authorized SalesHive host reviews and approves the email, it goes only to people who actually joined the exact eligible recorded occurrence, not everyone ever invited through the reusable link. The private page lasts seven days and includes the recording plus shared notes. The email also includes the deal room path.
